A wedding coordinator steps in once you’ve done the planning and makes sure everything you’ve organised actually comes together.

My coordination starts six weeks before your wedding. I get to know everything you’ve planned, liaise with your suppliers, work through the logistics, create a detailed supplier timeline and help with the final set up before coordinating the wedding itself.

You still get to plan your wedding exactly how you want it, without having to be responsible for running everything on the day.

A wedding planner will usually be involved much earlier and help you plan the wedding itself, from finding suppliers and managing budgets to making decisions throughout the planning process.

A wedding coordinator comes in once most of that planning has been done. I step in six weeks before your wedding, take everything you’ve planned and make sure all of the details, suppliers and logistics work together.

A day of wedding coordinator is someone responsible for running your wedding day, but despite the name, good coordination shouldn’t really begin on the day itself.

There’s a lot I need to know before I can properly run your wedding, which is why my service begins six weeks beforehand. By the time the wedding arrives, I already know your plans, suppliers, timings and logistics inside out.

If you’ve loved planning your wedding but don’t want to be responsible for running it, a coordinator can make a huge difference.

It means you’re not answering supplier questions, watching the clock, checking whether everything has been set up or asking a family member to deal with problems. You’ve spent so much time planning the day, so when it arrives you should be able to enjoy what you’ve created rather than manage it.

Possibly! A venue coordinator and an independent wedding coordinator often have quite different roles.

Your venue team will naturally be focused on everything relating to the venue, whereas I’m working for you and looking at the wedding as a whole. That includes your suppliers, timeline, set up, ceremony, reception and all the little details that sit between them.

It’s always worth checking exactly what your venue coordinator does and doesn’t cover before deciding whether you need additional support.

I don’t offer coordination where I simply arrive on the wedding morning without being involved beforehand.

My service starts six weeks before your wedding because that preparation is what allows me to run the day properly. I need time to understand everything you’ve planned, speak to your suppliers, develop the timeline and work through the logistics before I can take responsibility for coordinating it on the day.

You do the planning yourselves, then six weeks before the wedding I step in to help bring everything together. I’ll pick up the final details, liaise with your suppliers, work through the logistics and get everything ready for the wedding day.

You don’t need to wait until six weeks before your wedding to book me. In fact, I’d recommend securing your date much earlier, particularly if you’re getting married on a popular Saturday during wedding season.

Once you’re booked, your date is secured and my full coordination service begins six weeks before the wedding.

My coordination service officially begins six weeks before your wedding with a full handover.

This gives me enough time to get to know your plans, contact your suppliers, work through the logistics, complete a venue walk through or site visit and bring everything together before the wedding.

My six week coordination service includes a full planning handover, venue walk through or site visit, supplier liaison and confirmations, final logistics and a detailed supplier timeline complete with maps and floorplans.

I also support with set up before the wedding and coordinate the wedding day itself, taking responsibility for bringing together all of the plans we’ve worked through beforehand.

My six week wedding coordination service is £1,950.

A 25% deposit of £487.50 secures your date, with the remaining balance due six weeks before your wedding when my coordination begins.

Travel within 30 miles is included, with additional travel and accommodation charged where required.

Yes. A site visit is included as part of my six week coordination service.

Even if I’ve worked at your venue before, it’s useful to walk through your plans in the space. We can look at layouts, supplier access, timings, guest flow, wet weather plans and any logistical details that need sorting before the wedding.

Yes. Once the handover has taken place, I’ll introduce myself to your suppliers and become their point of contact for the final coordination and logistics.

I’ll confirm the information I need from each of them and make sure everyone is working from the same plan before the wedding.

You’ll usually already have a framework for your wedding day and an idea of when the main moments are happening. As part of the handover, you’ll send this over to me along with the rest of your plans.

I’ll then work through it in detail, spot anything that doesn’t quite work, speak to your suppliers about their requirements and add in all of the timings and logistics needed to coordinate the day successfully.

From there I create the detailed supplier logistics timeline, complete with the information, maps and floorplans everyone needs so that your suppliers are all working from one clear plan.

Yes. I’ll be there to meet suppliers, answer questions, oversee arrivals and set up and make sure everyone knows where they need to be and when.

Because I’ve already been speaking to your suppliers beforehand, they know who I am and can come directly to me rather than needing to find you.

Yes. Suppliers, your venue and your wedding party can come to me with questions rather than interrupting you.

If something needs a decision that genuinely only you can make, I’ll obviously speak to you, but otherwise I’ll deal with as much as possible without involving you.

Yes. Set up support is included in my six week coordination service.

Exactly what this looks like depends on your wedding and venue, but I’ll work through the set up requirements beforehand so we have a clear plan for what needs doing, when and by whom.

If your venue allows access the day before, I can also support with pre wedding set up. This is particularly useful for marquee, dry hire and blank canvas weddings where there can be a lot to get ready before the wedding day itself.

Yes, where a ceremony rehearsal is needed I can incorporate this into the pre wedding set up.

It can be particularly helpful for larger wedding parties or ceremonies with more moving parts, so everyone knows where they’re going and what’s happening before the wedding day.

I don’t work to a set number of hours and disappear halfway through your wedding. I stay until all of the key elements I’m responsible for have been completed.

A typical wedding day can mean 12+ hours on site, depending on your plans and timings. If you require end of night lock up or additional late night coverage, we can discuss this separately.

I deal with it!

Weddings involve lots of people, timings and moving parts, so little things do sometimes change or need solving on the day. My job is to spot those things, work out the best solution and keep everything moving.

Wherever possible, I’ll deal with problems behind the scenes without you ever needing to know about them.

Absolutely. I’m based in Dorset but coordinate weddings further afield too.

If your wedding is outside my included travel area, I’ll calculate the additional mileage for you before you book. Depending on the distance and timings, accommodation may also be required.

Travel within 30 miles is included in my six week coordination fee.

Additional mileage is charged at 45p per mile. For weddings further away, an overnight stay may also be required depending on the location, start and finish times, or whether I need to return the following day.

Yes, and these are exactly the sorts of weddings where having someone overseeing the logistics can be particularly useful.

With a marquee or at home wedding, you’re often bringing together the venue, caterer, bar, toilets, power, furniture, florists, entertainment and lots of other individual suppliers. I make sure those moving parts all come together.

Yes. I love working with dry hire and blank canvas weddings.

They often involve more suppliers and logistics than a traditional venue, so having one person who understands the complete plan and is coordinating everyone can make a huge difference.

Yes. If you’re having your ceremony in a church and then moving to a separate reception venue, I’ll incorporate both locations into the overall wedding day plan.

We’ll work through timings, travel, suppliers and the transition between the two so the whole day works together. Depending on the locations, timings and logistics involved, an additional coordinator may be required so that both parts of the wedding can be properly covered.

Yes. For larger weddings or those with more complicated logistics, I can arrange an additional experienced coordinator to work alongside me.

We’ll discuss this during the planning process and I’ll let you know if I think having another pair of hands would benefit your wedding. There is an additional fee for this.

If I’m working for more than eight hours, I ask that a supplier meal is provided.

Wedding days are usually long and busy, so having something substantial to eat allows me to keep my energy up and stay focused throughout the day.

Returning the following day for pack down isn’t included as standard in my six week coordination service, but it can be arranged if you need additional support.

This can be particularly useful for marquee, at home and dry hire weddings where items need to be organised, cleared or prepared for supplier collections the following morning.

Once your booking is confirmed and your deposit has been paid, your wedding date is secured in my diary.

Then, six weeks before your wedding, the handover begins. We’ll go through everything you’ve planned in detail and I’ll start taking over supplier communication, timings and logistics ready for the wedding.

The first step is to get in touch and check that I’m available for your wedding date.

We can then arrange a call to chat about your plans, your venue and what you need help with. If you’d like to go ahead, a 25% non refundable deposit of £487.50 secures your date.

From there, you can carry on with your planning knowing that I’ll step in six weeks before the wedding to help bring everything together and take care of the final coordination.
